LICENSING FAQs Orders/Cancellations We ask that you order at least two weeks prior to your screening, but you may order as far in advance as you would like. We can typically accommodate last minute bookings as well, so always check with your Account Executive prior to your event regardless of lead time. Once you are ready to proceed with licensing, you can complete and send back the Exhibition Request Form. An Account Executive will follow up within two to three business days to provide you with an emailed order confirmation and invoice. All changes or cancellations must be received in writing at least 10 business days prior to your show. If you need to cancel but are unable to give adequate notice, you will be required to pay the initial invoice but will have one year to screen that same film at no additional licensing fee. Payment is due at the time of the original show. You may be subject to round trip shipping and handling for the rescheduled screening. Pricing Each film is licensed individually and the price of your license is determined by 3 factors: the anticipated audience size, the location of your screening and the movie title. Prepayment You are required to pay your licensing fee in full, by the scheduled ship or bill date, for your first three (3) orders. You can pay with any major credit card, check or a signed copy of your purchase order. If paying by check, an invoice will be sent to you which will include the address for remittance, and the check must arrive prior to the ship or bill date on your invoice. Advertising Private advertisements (website, social media page, limited mailing/email lists, etc.) can include film titles. You can also hand out flyers and/or make announcements at other events taking place at your venue. We also offer free customizable publicity materials such as door hangers, table tents, tickets and more to help promote your event. Ask your Account Executive about these and additional full-size theatrical movie posters for purchase. Feel free to share your event photos and advertising materials with us. We’d love to hear from you and and see how your events are going. DO NOT BEGIN PROMOTING YOUR FILM SERIES UNTIL YOU HAVE AN OFFICIAL WRITTEN CONFIRMATION FROM SWANK MOTION PICTURES. Charging Admission You are welcome to charge an admission for your show, however that may result in additional fees. The total cost will be the licensing fee or 50% of your ticket sales – whichever is greater. If the entrance fee is a true donation with no suggested donation amount, no percentage is required. Selling concessions will have no effect on the licensing fee. Unforeseen Circumstances Policy In the case of an unforeseen circumstance (bad weather, electricity outage, projector malfunction), you have up to one year after your original show date to reschedule the same title at no additional licensing fee. Payment is due at the time of your original show date as the royalties will have been paid to the appropriate studio. Depending on when you reschedule your event, you may be responsible for round trip shipping and handling if you choose to have a rental copy shipped to you. Disney movies must be scheduled within the approved Disney Windows. Formats You have two options in regards to the physical copy of the film that you use for the screening. 1. Obtain your own legal copy of the film. You are welcome to use a personal copy or purchase/rent one at a local store. Regardless, the licensing fee will remain the same. *You are responsible for any costs incurred in obtaining the copy. 2. Swank can send out a rental copy of the film for the screening (DVD, Blue- Ray, 35mm, DCP). Movies will arrive at least two business days prior to your scheduled screening. The package will include a return shipping label to send the movie back to Swank the following business day after the screening. *This will result in an additional round trip shipping and handling fee on top of licensing fee. Testing Your Movie Compatibility issues between DVD’s and DVD players may lead to an interruption of your screening. We strongly encourage testing the copy of the film that you are using with your equipment prior to the movie screening. If you experience any issues with the rental copy that was sent to you during the initial test, let your Account Executive know and we can send out another copy for the screening. Walt Disney Pictures Your favorite Disney films (Buena Vista, Hollywood, Touchstone, Pixar, Marvel) are available to be shown outdoors during specific windows as determined by the studio. These windows vary each year so please contact your Account Executive for these exclusive times. Please also note that the crowd size for Disney screenings should not exceed 1,000 or be shown in conjunction with a fundraiser.
